Step 1 – MANAGE LOCATIONS
Make sure that all your master templates, per studio, are setup correctly. Master Templates are the SMS scripts that are available for staff to use when sending messages.
By default, your login will take you to the ClubReady Connect Dashboard. To view the menu, hover over the icons on the left side of the screen.
Once menu is expanded > select Manage Locations.
Your single or multiple locations will be displayed here with their information such as phone number, number status, address and zip code. Click on the 3 dots for the location > select Manage Templates.
The full list will be displayed for you to manage.
NOTES:
- Some templates will already be available for you but we do suggest to take a moment to review.
- If there are templates you do not wish to use (archive templates), click on the 3 dots, and select Archive.
Step 2 - MANAGE STAFF
Where you can create additional staff logins.
If you need to create a new one > click > fill out the entire form > select Add.
NOTES:
- Their email address is their username.
- Admins will provide new staff with their initial password but once they attempt to login, they can adjust and customize it.
- We do recommend having individual logins because the MESSAGE USER ID tracks who sent a specific message.
Step 3 - MANAGE ROLES AND PERMISSIONS
This section gets setup for you prior to staff login being provided. However, we recommend you review all roles and permissions to edit as needed.
The roles will be displayed here. Click a specific role > view their permissions / access in ClubReady Connect (such as “can they edit templates?”, “can they archive?”, and so on).
Step 4 - CAMPAIGNS
This is where you are creating your SMS campaigns. For example, if you are trying to reach out to a specific user, a group of prospects, or doing targeted marketing campaigns.
The Campaign | Creator page will allow you to insert Campaign Name, Select Location, Select Template and Select Recipients who you want to receive the campaign. It will populate the message and you can make edits as needed.
Once you send a CAMPAIGN, it will generate a CONVERSATION.
NOTES:
- ClubReady Connect is MULTIMEDIA, which means you can attach files such as a screen shot or a gif by selecting the paperclip icon .
- No limit on recipients.
- There is a limit on how many messages you can send in a day - 2,500 messages per studio. Keep in mind both outgoing and incoming messages add up to this number.
Step 5 - CONVERSATIONS
This page will allow you to view the responses.
You can see ACTIVE CONVERSATIONS. When selecting one, it will generate on the main screen for you to view the history and respond.
NOTES:
- Any message IN and OUT of the system will be translated back to ClubReady in the customers NOTES SECTION. That way you have a running history of the conversation there as well as in ClubReady Connect.
- We also have MESSAGE SENDER ID – to see who sent out the message and what time.
Step 6 - CALENDAR
Any scheduled class in ClubReady gets dropped into a calendar page in ClubReady Connect. This is beneficial because it will trigger the appropriate reminders, follow ups and wait list messages.
You can select a specific CLASS which will generate a pop up window to type in your message.
Step 7 - CLIENTS AND PROSPECTS
This will list your prospects and member's information such as name, email and phone number. The information from ClubReady pulls into ClubReady Connect and updates every 30 minutes throughout the day.
